More For Men ("MFM") is the operating brand of MFM Health Co. Ltd. This Privacy Policy explains how MFM Health Co. Ltd. ("MFM," "we," "us" or "our") collects, uses, discloses, stores and protects personal information through the More For Men website, newsletter, communications and administrative operations.
MFM is committed to handling personal information responsibly and in accordance with Alberta's Personal Information Protection Act (PIPA), Canada's Anti-Spam Legislation (CASL), and other applicable privacy requirements.
1. Scope of this policy
This policy applies to personal information handled by MFM through:
The More For Men website;
Website forms and general inquiries;
Newsletter subscriptions and marketing communications;
Website analytics and cookies;
MFM's administrative, billing and invoicing activities; and
MFM-managed accounts or interactions involving service providers such as Squarespace, Mailchimp, Google Analytics, Google Tag Manager, Jane and Trainerize.
This policy does not replace the privacy notices, consent processes or professional obligations of independent practitioners.
2. Independent practitioners
Practitioners providing services through MFM operate as independent contractors and independent businesses. They are not employees of MFM. Each practitioner is independently responsible for their professional practice and for the clinical records and health information within their custody or control, including the collection, use, disclosure, retention and protection of that information.
A practitioner may provide a separate privacy notice explaining their own practices, technologies and legal or professional obligations. Questions about a clinical record, treatment note, clinical consent or a practitioner's use of technology should be directed to that practitioner.
3. Personal information we collect
Depending on how you interact with MFM, we may collect:
Contact information, such as your name, email address, telephone number and mailing address;
Information you voluntarily include in an inquiry or website form;
Newsletter subscription information and consent records;
Administrative, billing, invoicing and transaction information;
Appointment-related administrative information available to MFM through its authorized use of Jane;
Account, program and engagement information available through MFM-managed Trainerize services;
Technical information, such as IP address, browser and device information, referring pages, pages visited, approximate location and interactions with the website; and
Records of communications with MFM.
Please do not submit detailed medical information, clinical records or urgent health concerns through general website forms or newsletter forms.
4. How we collect information
We may collect personal information:
Directly from you when you contact us, submit a form, subscribe to the newsletter or otherwise communicate with MFM;
When you use an MFM-managed service or account;
Automatically through cookies and similar website technologies; or
From a practitioner or service provider where authorized and reasonably necessary for administrative, scheduling, billing or service-delivery purposes.
5. How we use personal information
MFM may use personal information to:
Respond to questions and requests;
Administer bookings, programs, accounts, billing and invoicing;
Provide and support MFM services;
Connect you with an appropriate service or independent practitioner at your request;
Operate, secure, maintain and improve the website;
Understand website traffic, performance and user experience;
Send newsletters, wellness information, clinic news, service updates and occasional promotions where we have your consent or are otherwise permitted by law;
Manage consent and unsubscribe requests;
Prevent fraud, misuse and security incidents;
Maintain appropriate business and financial records; and
Meet legal, regulatory and contractual obligations.
MFM limits collection, use and disclosure to purposes that a reasonable person would consider appropriate in the circumstances.
6. Consent and choices
We obtain consent where required by law. Consent may be express or implied depending on the nature and sensitivity of the information and the circumstances.
You may withdraw consent, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may affect our ability to provide a requested service where the information is necessary for that service.
Newsletter consent
Submitting a dedicated newsletter signup form and selecting its signup button indicates your consent to receive the communications described with that form. Newsletter consent is optional and is not required to access MFM services.
Every commercial email will identify the sender and include a working unsubscribe mechanism. You may unsubscribe at any time using the link in an email or by contacting us. We will process unsubscribe requests in accordance with CASL.
7. Cookies, Google Analytics and Google Tag Manager
The MFM website is hosted through Squarespace and may use cookies or similar technologies required for website functionality, security and performance.
We use Google Tag Manager to manage website measurement tools and Google Analytics to understand how visitors find and use the website. These tools may collect information such as device and browser details, IP-derived or approximate location information, pages viewed, referring sources and interactions with the website. We use this information in aggregated or statistical form to evaluate and improve the website and marketing activities.
Where required, non-essential analytics technologies will be controlled through the website's cookie choices. You may also adjust browser settings to block or delete cookies; however, some website functions may not operate as intended.
Google may process information on servers outside Canada. For more information, review Google's privacy information and available browser or account controls.
8. Service providers and platforms
MFM uses service providers to perform functions on its behalf. Depending on your interaction with us, these may include:
Squarespace for website hosting, forms and website functionality;
Mailchimp for newsletter subscriptions and email delivery;
Google Analytics and Google Tag Manager for website measurement and tag management;
Jane for booking and clinic-administration functions; and
Jane is used for online booking and applicable clinic-administration functions. Jane provides privacy and security controls designed to help Alberta clinics meet requirements under PIPA and the Health Information Act (HIA), including access controls, audit activity, secure Canadian data hosting, encryption, signed and timestamped charts, and controlled information sharing. Compliance also depends on how MFM and each independent practitioner configure and use the platform and fulfill their own legal and professional obligations.
Trainerize for applicable fitness, nutrition or wellness-program functions.
ABC Trainerize is used to deliver applicable exercise, nutrition and wellness programming and may collect information such as contact details, fitness goals, workout activity, nutrition information, progress measurements and communications. Trainerize states that it complies with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws. Information may be processed in Canada, the United States, France or other locations used by Trainerize and its service providers. MFM limits access to authorized individuals and uses the platform in accordance with its privacy and security obligations.
These providers may collect information directly through their platforms or process information for MFM under their own terms, privacy notices and contractual arrangements. We provide service providers only with information reasonably necessary for the relevant purpose and require appropriate handling of information within our control.
When you follow a link to or use Jane, Trainerize or another third-party platform, that platform's privacy terms may also apply. Clinical information entered into or created through a practitioner's practice remains subject to the practitioner's responsibilities and applicable health-privacy requirements.
9. Processing outside Canada
Although MFM is a Canadian organization serving clients in Canada, some of our technology providers or their subprocessors may store or process personal information outside Canada. Depending on the service, processing may occur in Canada, the United States, Ireland, France, or other countries in which the provider or its subprocessors operate.
For example, Mailchimp and Squarespace may process information in the United States or other jurisdictions; Google maintains servers internationally; and Trainerize states that information may be processed in Canada, the United States and France. Jane account data configured for Canadian storage is hosted in Canada, although limited support or subprocessors may be governed by their applicable arrangements.
When information is processed in another country, it may be subject to that country's laws and may be accessible to courts, law-enforcement bodies or government authorities in accordance with those laws.
You may contact our Privacy Officer for more information about MFM's policies and practices concerning service providers outside Canada or the countries in which a particular provider may process information.
10. Artificial intelligence
MFM may use artificial intelligence tools to assist with website content, marketing and administrative functions. MFM does not enter client charts, clinical records or identifiable health information into general-purpose artificial intelligence tools for these purposes.
Independent practitioners may separately choose to use their own approved technologies, including AI-assisted clinical documentation tools, within their independent practices. MFM does not select or operate those practitioner-owned tools. Each practitioner is independently responsible for explaining any applicable use to clients and for meeting their own privacy, security, professional and legal obligations, including any required privacy assessment.
11. Disclosure of personal information
MFM does not sell personal information.
We may disclose personal information:
To service providers acting for or supporting MFM;
To an independent practitioner or service with your direction or consent;
Where reasonably necessary to administer a service you requested;
To professional advisers, insurers, auditors or payment and financial service providers where appropriate;
In connection with a proposed or completed business transaction, subject to applicable safeguards; or
Where required or authorized by law, including to respond to lawful requests, protect rights or safety, investigate misuse or comply with legal obligations.
12. Safeguards
MFM uses reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information. These may include access controls, account permissions, secure platforms, staff confidentiality expectations, authentication practices and policies governing appropriate collection, use, disclosure, storage and disposal.
No system or method of transmission is completely secure. If a privacy breach creates a real risk of significant harm or otherwise triggers a legal reporting requirement, MFM will provide notifications as required by applicable law.
13. Retention and disposal
MFM retains personal information only for as long as reasonably necessary to fulfill the purposes described in this policy and to meet legal, accounting, operational and contractual requirements. When information is no longer required, we securely destroy, delete or anonymize it, subject to technical limitations and lawful retention requirements.
Independent practitioners determine retention of their own clinical records in accordance with applicable laws and professional requirements.
14. Access and correction
You may request access to personal information about you that is in MFM's custody or control, or ask us to correct information that is inaccurate or incomplete. We may need to verify your identity before responding. Access may be limited where permitted or required by law, and we will explain any lawful limitation that applies.
Requests concerning a clinical record in an independent practitioner's custody or control must be directed to that practitioner.
15. Children and youth
MFM may offer therapy services to children and youth through independent practitioners. For clients under the age of 18, MFM requires consent from a parent or legal guardian before therapy services begin.
Where the child’s parents or guardians are separated, divorced or otherwise not part of the same household, consent from both parents or all legal guardians is required unless documentation confirms that one parent or guardian has sole authority to make healthcare decisions for the child. MFM or the treating practitioner may request parenting agreements, court orders or other documentation necessary to confirm decision-making authority.
Parents and guardians may be asked to provide personal information for consent, booking, billing and communication purposes. The independent practitioner will explain how the young person’s privacy, confidentiality and clinical information will be managed throughout therapy, subject to applicable legal, ethical and professional obligations.
Our general website and newsletter forms are not intended to collect sensitive health information from children. If you are a child or youth seeking care, please use the appropriate booking channel with the involvement of a parent or guardian where required.

The website may link to third-party websites or platforms. MFM is not responsible for the privacy practices of a third party operating independently from MFM. We encourage you to review the privacy information provided by each website or platform you use.
17. Changes to this policy
We may update this Privacy Policy to reflect changes in our practices, technologies, services or legal obligations. The current version will be posted on the website with its effective date. Material changes may be communicated through an additional notice where appropriate.
